If you're a practice owner or clinic manager looking at a used Planmeca CBCT, a Planmeca milling machine, or even a second-hand dental chair—and you're trying to decide if it's a smart buy or a future headache—this is for you.
I've been on the receiving end of those decisions. As a quality compliance manager, I review equipment specs and supplier contracts before anything reaches our floor. Step 1: Verify compliance & regulatory status
Most buyers focus on price and age of the unit. They completely miss whether the machine was originally sold for the market they're in. Sounds obvious, but I've seen three cases this year where a used Planmeca ProMax was imported from a region with different electrical standards and no CE marking. The buyer saved $12,000 upfront—then spent $6,500 on rewiring and recertification.
What to check:
- CE marking or FDA clearance (depending on your region). Ask for the original declaration of conformity.
- Electrical specs match your clinic's supply. 110V vs 220V is an easy miss.
- Software version—older versions might not support current AI imaging features or DICOM standards.
If the seller can't provide a serial number and a clear photo of the rating plate, that's a red flag.
Step 2: Assess diagnostic & clinical functionality
The question everyone asks is: "How many scans has it done?" The question they should ask: "When was it last calibrated and can I see the test image?"
For a Planmeca CBCT or panoramic unit, a calibration log from the last 12 months tells you more than total scan count. A unit with 8,000 scans that was serviced annually might be in better shape than one with 3,000 scans that sat idle for two years.
Practical test:
- Ask for a DICOM export of the last quality assurance phantom image.
- Check for artifacts—especially in CBCT volumes. Ring artifacts or streaking can indicate detector issues.
- If it's an intraoral scanner (like Planmeca Emerald S), request a fresh scan of a calibration model. Surface noise is a dealbreaker.
I went back and forth on a used Promax 3D Classic vs saving for a newer unit. The used one had a detector artifact that wasn't visible in the listing photos. The seller agreed to a re-certification at their cost—so I got lucky. But most people wouldn't have thought to ask for test images.
Step 3: Evaluate actual wear on mechanical components
For milling machines (like Planmeca PlanMill or other chairside CAD/CAM units), the spindle hours and tool changer condition matter more than the cosmetic appearance. The surprise for most buyers: the spindle is the single most expensive part to replace.
Checklist:
- Spindle run hours—if it's above 80% of the manufacturer's service interval, factor that into your offer.
- Check for chatter marks on any sample milled block. That tells you bearing wear.
- For dental chairs: test all motorized movements under load. Hydraulic leaks on a used Planmeca chair can cost $1,200+ to repair.
Not ideal, but workable: cosmetic scratches are fine. Mechanical play is not.
Step 4: Verify software licensing & upgrade path
This is the one everyone overlooks. A used Planmeca imaging unit or CAD/CAM system might have software tied to the original owner's license. Transferring ownership can require a new license fee—or the software version is so old it's no longer supported.
What to confirm before purchase:
- Is the software license transferable? Ask for written confirmation from the manufacturer's local distributor.
- What's the current version and what's the upgrade path to the latest release?
- Does the unit support current AI features (like Planmeca Romexis AI imaging)? Older hardware might not be compatible.
The upside of buying used was $18,000 savings on a Planmeca ProMax. The risk was discovering the software license was non-transferable. I asked that question before wiring the deposit—and the seller hadn't checked. Turned out it was transferable, but the process took 6 weeks. Worth knowing upfront.
Step 5: Calculate total cost of ownership
Too many people compare purchase price only. The real cost includes installation, service contracts, spare parts availability, and downtime risk. For a used CBCT or milling machine, if parts are discontinued, a single failure could mean a month of downtime.
Cost calculator (rough estimates):
- Installation & calibration: $2,000–$5,000 for CBCT units
- Annual service contract: $1,500–$3,000 (depending on coverage)
- Spindle replacement for milling machine: $3,500–$6,000
- Software upgrade fee: $500–$2,000 per major version
I calculated the worst case: a used Promax with a detector failure cost $9,200 to repair. Best case: it ran for 4 years with no issues. The expected value said it was a decent deal, but the downside felt too heavy for a clinic with only one imaging unit. We passed. Sometimes "no" is the right call.
Common mistakes
Relying only on photos. I've rejected units that looked pristine in listing images but had corrosion on internal connectors or missing calibration certificates.
Skipping the distributor check. Just because it's a Planmeca unit doesn't mean the seller is authorized to resell it. Unauthorized resellers may not provide accurate service history.
Assuming all used units need less work than new. A well-maintained 5-year-old Planmeca unit with full service records can be more reliable than a 2-year-old unit with no history. It's the documentation that matters, not the age.
Bottom line: used high-value dental equipment can be a smart move—if you know what to check. Most problems are avoidable with a 30-minute inspection and a few specific questions. Use this list before you send that deposit.
